Notice to Hirers<\/strong><\/span><\/h3>\n

We use an on line booking system to make reservations to hire the gallery.<\/strong><\/span><\/h3>\n

The process is simple:<\/strong><\/span><\/h3>\n

1. Read the Terms and Conditions of hire shown below.<\/strong><\/span><\/h3>\n

2. Register on line (Information for Artists Menu).<\/strong><\/span><\/h3>\n

3. Having registered and logged in, you can access the on line booking in the Information for Artists Menu.<\/strong><\/span><\/h3>\n

4. When you find a free period that you are interested in booking, click on the image for more information about price and payment and then click on Add to Cart<\/span> to make the booking. Multiple bookings can be added to your cart.<\/span><\/strong><\/h3>\n

N.B. We are limiting the maximum number of week -long bookings to two per Calendar year.<\/h3>\n

5. To confirm your booking and make the payment, click on View Cart(top right of shop screen) and follow the instructions. You will receive emails confirming the booking and payments made(Paypal only).<\/span><\/strong><\/h3>\n

Festivals<\/strong><\/span><\/h3>\n

Given that 27% of our annual footfall occurs during the Jazz and Literature Festivals, these periods are now being offered at a higher price than other weeks and are subject to a special application. You can order a free application form in the same way as booking a week. <\/strong><\/span><\/h3>\n

Gardens Gallery Conditions of Hire<\/b><\/span><\/p>\n

<\/a><\/p>\n

  1. The Gallery is available to individual artists or groups of artists working in Gloucestershire. We also collaborate with The Wilson, The University of Gloucestershire, Art Clubs and Photographic Societies. <\/span><\/li>\n
  2. It is not available for hire to individuals or entities looking to commercialise art produced by others.<\/span><\/li>\n
  3. The focus is on original creative work which must represent the majority of the exhibits.<\/span><\/li>\n
  4. We are limiting the maximum number of week -long bookings to two per Calendar year.<\/span><\/li>\n
  5. 3 DAY HIRE. These periods fall at a time when foot-fall in the Gardens will most likely be below average. These periods are considered ideal for workshops, degree shows, art related meetings, demonstrations and lectures.<\/span><\/li>\n
  6. 7 day hire or 14 day hire. For the majority of the year the hire period is for one week but you may also book two consecutive weeks but by booking each week separately. <\/span><\/li>\n
  7. Bookings during Jazz and Literature Festivals will be subject to a special application and selection process. The forms and explanations re the new policy can be found on our web site under Festivals. <\/span><\/li>\n
  8. Hiring Charges vary depending on time of year. Charges are shown on each product in our on line shop. Gardens Gallery CIC reserve the right to modify these charges; once booked we will do our best to honour the hiring fee but reserve the right to change it should the circumstances warrant it<\/span><\/li>\n
  9. REGISTERED GALLERY USER: You are advised to register well in advance of booking, Registration is free but an essential pre-cursor to booking. <\/span><\/li>\n
  10. DEPOSIT. A deposit is payable as part of the booking process. This has to be paid on line using Pay Pal which will regular bank\/credit cards. N.B. Your deposit is non-returnable if you subsequently cancel unless we are able to re-let the booking.  If we are able to re-let, the deposit will be refunded less an administration charge of \u00a350.00.<\/span><\/strong><\/span><\/li>\n
  11. CONFIRMATION OF BOOKING. You will receive this immediately.<\/span><\/li>\n
  12. The balance needs to be paid 12 weeks in advance of your booking. You will receive a statement of your account at that time with request for payment.<\/span><\/li>\n
  13. HANGING\/DISMANTLING. The hirer is responsible for all hanging and dismantling as well as taking responsibility in the event of missing or damaged equipment: (It is very easy to walk away with hanging hooks in your pockets!). OUR MOST COMMON COMPLAINT IS THAT LONG HANGING LEADS HAVE BEEN CUT : PLEASE DO NOT CUT ANY HANGING LEADS !<\/span><\/span><\/li>\n
  14. STEWARDING. The hirer is responsible for organising and briefing stewards. The Gallery must not be left open and unattended at any time during the opening hours. 2 stewards are recommended at any one time. Stewards must check that all doors are locked and lights are off in all rooms.<\/span><\/li>\n
  15. OPENING HOURS FOR 7 day HIRING. The obligatory core hours are 10am to 5pm daily(we are contracted to these hours by the council). On your opening day you are permitted to open later than 10am to have time to hang and display. On your closing day you should close at 1pm. <\/span><\/li>\n
  16. SUMMER HOURS. You may stay open until 9pm in the evening at your own discretion. <\/span><\/li>\n
  17. VEHICLES AND PARKING. There is strictly NO PARKING outside the Gallery except when delivering exhibits on the 1<\/span>st<\/span><\/sup> day and removing them on the last day. Do not park on the paved area given that this is not weight bearing. 2 Parking spaces are available behind the caf\u00e9 for use by stewards.<\/span><\/li>\n
  18. MAX SPEED AND SECURITY. Never drive at more than 5MPH inside the Gardens and always switch on your hazard warning lights. <\/span><\/li>\n
  19. ACCESS TO GARDENS. The main vehicular access should always have bollards across. The central bollard has a combination padlock for which you will be given the code at your briefing. You must always replace the Bollard after entering and after leaving.<\/span><\/li>\n
  20. WI-FI. You will be given the access codes for wi-fi at your briefing. <\/span><\/li>\n
  21. INSURANCE. The Gallery holds public liability Insurance BUT you are responsible for insuring the art work being displayed and any other valuables you might have with you.<\/span><\/li>\n
  22. FACILITIES. The toilet is not available to the general public but stewards, the disabled and staff from the cafe may use it (when public conveniences not accessible)<\/span><\/li>\n
  23. HEALTH AND SAFETY. Please read the Stewards file on arrival and take note of the Health and Safety advice and other information.<\/span><\/li>\n
  24. OUTSIDE ADVERTISING. We provide various \u201copen\u201d banners and 2 large A Boards. These MUST be kept inside the Gallery at night and repositioned outside in the morning. Failure to comply will risk a charge in the event of damage through vandalism.<\/span><\/li>\n
  25. PUBLICITY. The Hirer is responsible for promoting the exhibition. Gardens Gallery will deploy their best efforts to assist through established lines of communication through our own web site, the Art e-Bulletin and social media but to facilitate you must plan to have marketing material ready 12 weeks before the Exhibition. <\/span><\/li>\n
  26. HEAT LOSS.Please do not keep the doors open while the heating is on. We have managed to reduce electricity consumption by over 70% in the last 3 years: please help us to maintain this performance.<\/span><\/li>\n<\/ol>\n

    The team at Gardens Gallery gather information about you from your having hired the Gallery or having booked the Gallery for a future hire.<\/p>\n

    We use and process your data only for the following purposes:<\/p>\n

    • Sending you information about the Gallery, its activities and opportunities to hire.<\/li>\n
    • Communication with your bank and our bank in the process of completing transactions related to an agreed hiring of the Gallery.<\/li>\n
    • To announce any change in our commercial terms or offer.<\/li>\n<\/ul>\n

      Exchange of Information.<\/h3>\n

      We will not exchange your information with any other organisation without contacting you with the sole exception of law enforcement agencies.<\/p>\n

      Your Consent<\/h3>\n
